Getting Rapides Parish Court Records
Rapides Parish court records are held by the Clerk of Court for Rapides Parish when the matter was filed in the Ninth Judicial District Court. Start with the case number, party name, filing year, and record type. A civil suit, criminal suit, minute entry, marriage record, or recorded instrument can use a different inquiry or request path. Alexandria, Pineville, and mayor's-court files remain with their own custodians, even though they sit in Rapides Parish.
Requesters can use the paid RAPID E-Search service for covered indexes and images, inspect open records at the Clerk counter, mail or deliver a form, or fax a copy request to Public Service. Phone staff can route a question, but the Clerk does not accept copy orders by telephone. eClerks LA and LCRAA offer statewide clerk and recording infrastructure, not a substitute for the Rapides civil or criminal index.
- Identify the court, record family, case number, and approximate year. Use a spelling variation when a name is common.
- Check RAPID E-Search coverage to see whether the needed index or image is available remotely.
- For a counter, mail, or fax request, complete the applicable Clerk search or public-copy form and state whether a plain or certified copy is needed.
- Include the required contact and delivery details. Mail requests need a self-addressed stamped envelope, and public requests are paid in advance.
- Keep the source date and request details. If exact wording matters, inspect the official file or order a certified copy.
Note: The physical courthouse record controls if it conflicts with an online image or index entry.
Rapides Parish Court Record Coverage
The Clerk's record history explains why a search should begin with both a case type and a date. Civil and probate suit indexes begin in October 1984, with images from March 1994. Criminal Inquiry indexes begin in January 1984, while Bills of Information images begin in May 2003. Traffic Inquiry begins in January 1990 and the overview does not list images. Those are access-system dates, not proof that an older courthouse file never existed.
The online service is account-based. Its public overview lists inquiry tiles, image ordering, daily, monthly, and annual access options, and a 30-day period for printing or downloading purchased images. Exact live search fields are behind the account gate, so a requester should not assume that every name, date, or number filter exists before signing in.
See the Clerk's office-history information before relying on an old search result.
That official source supports the distinction between retained courthouse records and the access copy shown through an online service.
Court Record Types
Rapides Parish court records include court files and clerk-maintained record families, but their labels matter. A civil or probate suit is different from a conveyance, mortgage, marriage license, traffic inquiry, or tax-roll index. The Clerk's Civil Department maintains civil suits, successions, adoptions, and related records, while the Criminal Department handles Ninth JDC felony, misdemeanor, juvenile, and traffic filings.
- Civil suits, probate and succession files, docket entries, motions, and judgments.
- Criminal suits, court minutes, bills of information, and traffic inquiries.
- Marriage licenses, conveyances, mortgages, plats, charters, and notarial indexes.
- Daily-register, tax-roll, and historic recording-index material where coverage applies.
- Appeal-preparation material held through the Clerk's Appeals Department.
A city-court case is not automatically a 9th JDC court record. Ask Alexandria City Court, Pineville City Court, or the relevant municipal office for its own file.
Rapides Parish Court Record Forms
The Search Order Form has separate civil, criminal, and marriage selections. It asks for a name, date of birth, selected year range, contact details, and signature. A one-name search is published at $20, with $10 for each variation. The form does not promise a turnaround time, so ask Public Service for the current expectation rather than treating silence as a set deadline.
The General Public Copy Request is for copies after a record has been identified. It lets a requester choose civil, conveyance, mortgage, criminal, marriage, or other records; request an entire suit or selected details; select certification; and request mail or fax return. State the public version requested when protected fields may require redaction.
See the Clerk's public-service instructions for the current request channels and payment details.
The Clerk's instructions distinguish a records request from a new filing and explain the public-service route.
Inside a Rapides Parish Court Record
An open case file may include more than the current court docket. The docket is the chronological list of activity. The file can also hold pleadings, service information, motions, minute entries, signed orders, judgments, costs, and appeal material. The visible index or online image can be narrower than the courthouse file, and public copies can omit protected data.
| Case number | The Clerk's identifier for the matter. Give it exactly when known. |
|---|---|
| Docket or minutes | Chronological settings, filings, proceedings, and recorded actions. |
| Pleadings | Filed petitions, answers, motions, bills of information, or other initiating papers. |
| Orders and judgments | Rulings or judgments. A signed order may control over a brief calendar label. |
| Public copy limits | Redactions, sealing, expungement, and confidential case categories can limit what is provided. |
Transcripts are separate verbatim records prepared by a court reporter or authorized provider. A docket or minute entry is not a transcript.
Rapides Parish Court Record Copies
The Clerk describes RAPID results and purchased images as access tools, while the original office record remains official. That matters when a record is old, indexed under a variation, partly redacted, or missing an image. The courthouse counter can determine whether a file is in the current image system, microfilm, optical storage, or a physical file.
Computer recordkeeping began in 1984, and the Clerk says older records before 1865 were destroyed in a courthouse fire. A no-result must be read against those history limits, the specific inquiry's coverage dates, and any access restriction. It is not a finding that no case ever existed.
Review the Clerk's current public notices for service changes before submitting a request.
Current notices are useful because access tools and filing procedures can change while older pages remain online.
Fees and Certified Copies
A plain copy provides the public document as supplied. A certified copy carries the Clerk's authentication and may be needed when an official record must be presented elsewhere. Ask for certification on the copy form rather than assuming that an online printout has that status. Check the Clerk's current schedule before payment, because the statutory framework and the office's transaction categories may not match exactly.
| Published Clerk item | Amount |
|---|---|
| Civil or suit copy | $1 per page |
| Civil or suit certification | $5 |
| Recording copy / certification | $1 per page / $10 certification |
| Minute extract / certification | $10 per docket / $5 certification |
| Search order / name variation | $20 / $10 |
Fax copies are listed at $1 per local page and $2.25 per long-distance page. The research reports a 2% credit-card fee, and checks should be payable to Rapides Clerk.
Read R.S. 13:841 alongside the Clerk's current service page because it supplies the statutory charge framework.
The statutory schedule explains authorized clerk charges, while the Clerk supplies the current transaction quote.

Rapides Parish Court Record Payments
Public copy requests are paid in advance under the Clerk's published procedures. The office lists cash, checks payable to Rapides Clerk, and credit-card payment, with a published 2% card fee. Bring or send payment only after identifying the record type and request method, because a search order, a per-page copy, a minute extract, and a certification can be separate charges.
For a mailed request, include the self-addressed stamped envelope required for return delivery. A phone call can help identify the proper department, but it cannot place a copy order. Fax charges and delivery options also depend on the Clerk's current instructions. Confirm an unusual request or a special record category with Public Service before sending payment.
Rapides Parish Court Record Redaction
A public record can still contain protected fields that must be redacted. The Clerk's 2026 filing notice identifies limits on Social Security, tax-ID, driver-license or state-ID, financial-account, and full-date-of-birth information. Request the public version of a record and do not send extra private data in a request just because an online search returned a similar name.
The same notice separates records access from filing a new pleading. Attorney fax and mail filing routes changed effective January 1, 2026. Clerk Connect and eFileUS are approved filing routes, while RAPID E-Search is the records-access service. Neither filing enrollment nor a fax copy request replaces the other process.
Read the Clerk's privacy and filing notice before sending material.
The notice supports using a public-copy request for access and the current approved channel for a new filing.
Sealed Records and Public Access
Louisiana law permits examination and copying of open clerk-held court records, but that rule has important limits. Juvenile files, adoptions, judicial commitments, expunged matters, sealed records, and protected personal information are not ordinary public records. A record may have a public docket entry while the attachment or selected fields remain unavailable.
When access is limited, ask the custodian whether a redacted public copy, minute entry, docket summary, or statement of non-public status is available. A request to unseal is for the court, not a workaround through an online portal. A missing name result can reflect a coverage limit, a spelling issue, sealing, or expungement.
Key Louisiana rules:
CCP art. 251 permits examination and copies of clerk-held court records during required hours, subject to law and authorized costs.
R.S. 44:31 et seq. supplies the public-record examination and copying framework.
Children's Code art. 412 restricts juvenile records and proceedings.
CCP art. 973 makes expunged information confidential.
